EasyShipy Prepaid Balance Policy

This policy is in draft — the effective date has not yet been set. It does not yet govern any live transaction.
1. Purpose
EasyShipy operates a prepaid balance system through which Sellers may deposit funds in advance and use those funds to pay for eligible EasyShipy services.
The prepaid balance is intended solely for use in connection with the Seller's EasyShipy account and eligible services made available through the Platform.
2. Funding the Prepaid Balance
The Seller may add funds using payment methods made available by EasyShipy.
Funds successfully received by EasyShipy will be credited to the Seller's available prepaid balance, subject to successful payment processing, reconciliation and applicable risk or compliance checks.
3. Permitted Uses
The Seller's prepaid balance may be used for eligible charges including:
- Shipment creation and shipping charges;
- EasyShipy service charges;
- SMS communication charges;
- WhatsApp communication charges;
- NDR-related charges;
- RTO-related charges;
- weight or dimensional adjustments;
- cancellation charges;
- other services or charges expressly made available through the Platform; and
- applicable taxes.
4. Debit at Shipment Creation
When a Seller confirms a prepaid Shipment, the applicable amount may be deducted from the Seller's available prepaid balance.
Where required by the Platform's transaction process, EasyShipy may temporarily reserve an amount before finalising the transaction.
5. Adjustments
EasyShipy may debit or credit the Seller's prepaid balance for legitimate adjustments arising from:
- Courier Partner weight verification;
- dimensional-weight verification;
- RTO;
- NDR;
- cancellation;
- additional services;
- pricing corrections;
- approved claims;
- refunds; or
- other applicable transaction adjustments.
Each material adjustment should be identifiable through the Seller's transaction history.
6. Credits
Credits may arise from:
- successful recharge;
- approved claim;
- refund;
- pricing adjustment;
- service reversal; or
- promotional credit.
Promotional or bonus credits may be subject to separate conditions and may not necessarily be withdrawable or refundable.
7. No General Cash Withdrawal
The prepaid balance is intended to be used for eligible EasyShipy services.
Unless EasyShipy expressly provides otherwise, the Seller may not transfer or withdraw the prepaid balance to a bank account.
Any refund or closure-related payment will be handled in accordance with EasyShipy's applicable refund, account-closure and compliance procedures and applicable law.
8. Negative Balance
Where applicable charges exceed the Seller's available balance, the Seller may have a negative balance.
The Seller must settle the negative balance before creating additional Shipments or using services restricted due to insufficient funds.
EasyShipy may recover outstanding amounts from future credits or other amounts payable to the Seller, subject to applicable law.
9. Holds and Restrictions
EasyShipy may temporarily restrict, hold or suspend use of funds where reasonably necessary for:
- fraud investigation;
- payment disputes;
- chargebacks;
- suspicious transactions;
- KYC verification;
- account verification;
- regulatory compliance;
- reconciliation; or
- investigation of unauthorised activity.
10. Account Closure
When a Seller closes its account, EasyShipy may first reconcile:
- outstanding shipping charges;
- RTO/NDR charges;
- weight adjustments;
- claims;
- COD settlements;
- payment disputes;
- refunds; and
- other amounts payable.
Any eligible remaining balance will be handled in accordance with the applicable account-closure and refund process.
11. No Interest
Unless expressly stated otherwise, prepaid balances do not earn interest or other financial returns.
12. Transaction Records
The Seller can view applicable prepaid balance transactions through the Platform.
The Seller should review transaction records regularly and report discrepancies within the applicable dispute period.
13. Misuse
The Seller must not attempt to manipulate, duplicate, reverse, fraudulently recharge or otherwise misuse the prepaid balance system.
EasyShipy may suspend affected transactions or the Seller account where misuse is suspected.
14. Regulatory Compliance
The operation of the prepaid balance system is subject to applicable law and EasyShipy's final legal, tax and payment-structure determination.
EasyShipy may modify the operation of the prepaid balance where required to comply with applicable law or regulatory requirements.
